For bills to be processed, approved, and paid smoothly in COMMITLY, the partner data should be complete and correct, especially the bank details.
If COMMITLY detects a new partner when an invoice is uploaded, a confirmation prompt appears automatically. A quick check at this point saves time later, because the partner is created correctly right away and no corrections are needed before payment.
Storing a bank account for the partner
Open the partner (e.g., via the pencil icon) and add the payment details in the Bank accounts section:
IBAN (or account number/bank code, depending on the country)
Account holder name (VoP)
optional: BIC, country, currency
if needed, you can store additional bank accounts via “Add bank account”.
Important: The account holder name is used for the payment (Verification of Payee)
The account holder name (VoP) is passed to the bank with the payment and may be subject to a payee check (Verification of Payee).
If the account holder name does not match the bank data (e.g., typo, different company name), the bank may warn about, block, or reject the payment, depending on the bank.
Tip: It is best to enter the account holder name exactly as it appears on the invoice, in your banking, or in the partner's bank master data.
Recommendations for better business partner recognition
Enter your company's tax ID during or after setting up the Bills connection. This excludes your company's tax ID from OCR recognition and reduces the likelihood of incorrect business partner suggestions.
Enter the tax IDs of your business partners. This increases the likelihood of correct automatic assignment of business partners.
Check whether there are duplicate business partners and remove them if possible. If that is not possible, please contact support.
Setting payment terms (cash discount) for business partners
With payment terms, you can store early-payment discounts (cash discounts) for your business partners.
COMMITLY automatically takes these terms into account for future bills from the respective business partner.
Up to three discount tiers with different payment deadlines and discount rates can be defined per business partner.
Setting payment terms for an existing business partner
If the business partner has already been created in COMMITLY, you can set the payment terms directly in the partner details.
Creating payment terms
Go to Bills → Partners.
Open the desired business partner via the pencil icon.
Switch to the Payment terms tab.
Click + Add discount tier.
Enter the desired payment deadline in days.
Enter the corresponding discount or cash discount rate.
If needed, repeat this process for further discount tiers.
Click Save.
Discount tiers
Up to three discount tiers can be stored for each business partner:
Term 1 – First payment deadline with discount
Term 2 – Second payment deadline with discount
Last term – Last deadline within which a discount is granted
Each discount tier consists of:
Payment deadline in days
Discount in percent
Discount tiers that are not needed can be removed at any time.
Example
Discount tier | Payment within | Discount |
Term 1 | 7 days | 2 % |
Term 2 | 15 days | 1 % |
Last term | 30 days | 0.5 % |
If an invoice is paid within 7 days, COMMITLY automatically applies a 2 % discount. If payment is made within 15 days, a 1 % discount is applied. Up to the last stored deadline, the corresponding discount is applied automatically.
